Create an Employee Profile

In order to link an employee to a project, an Employee Profile must be created. Employee Profiles are created at the project level, by authorized users with the proper Access Control Level (ACL) in the Time Cards Module.

Prerequisites:

To transfer an employee to a new project you must create an Employee Profile in the new project.

Create an Employee Profile

  1. Ensure you are logged into a project.
  2. Navigate to the Time Cards module.
  3. Click on the New Menu.
  4. Select: Employee Profile
    An Employee Profile tab opens. A draft Employee Profile document in edit mode is displayed.


5.  Fill in necessary information throughout the sections. Fields with an asterisk * are mandatory in order to Save the document.


Project:

    • Employee Profile Type*: This is a mandatory field. Select the profile type from the drop down list. (Payroll, Billing or Both)
      Payroll - will not be associated to your project billing;
      Billing
      - will be associated to your project billing and
      Both - allows you to select whether a Time Card is billable or not.
    • Project Employment Status*: This is a mandatory field.
    • Country of Employment*: This is a mandatory field.
    • Employment Start date on project*: This is a mandatory field, used to automatically initiate the generation of Time Cards for the employee and cannot be modified once a Time Card is created.

Employee:

    • Click the Select Employee link. An Employee is mandatory in order to Save the Employee Profile. For more information click here.

Employment Company:

    • Click the Select Employment Company link. An Employment Company is mandatory in order to Save the Employee Profile. Configurable in the Time Card Settings.

Position Profile:

    • Click the Select Position Profile link. A position profile is mandatory in order to Save the Employee Profile. Configurable in the Time Card Settings.


6. Payroll/Salary: This section will become available if the Employee Profile Type is: Payroll or Both. Depending on the unit of pay, the system calculates and         displays the payroll rate (hourly rate) from the associated position profile for hourly employees and the payroll rates for salary employees. 
7. Payroll Rate Adjustment: This field is only available for hourly employees. This is an editable numeric field. The system calculates the Adjusted Payroll Rate to reflect the payroll rate adjustment.
8. Click Save to complete the Employee Profile.

Next Steps:


Tip

Save - Saves a new Employee Profile document. Status will change to Active or Under Review, depending if workflow is applicable.

Save as Draft - Saves new Employee Profile document as a draft.

Delete - Removes a Employee Profile document. Only applicable on draft employee profile documents.

Cancel - Cancels Employee Profile document and/or any modifications made.
