Request for Information

The Request for Information (RFI) module is a tool for all participants of the Construction process. It provides the ability to document any gaps, conflicts or ambiguities during the preconstruction or construction phases of a project. An RFI can be initiated by any project participant - which is then sent for Review by the designated gatekeeper: the RFI Reviewer. The Request for Information module may be managed and configured by an authorized user with the proper Access Control Level.

The RFI Reviewer can then request a response from external parties such as the: Primary and/or Secondary Consultant.

Access the Request for Information Module

  1. Ensure you are logged into a project.

  2. Hover over Document Control.

  3. Select RFI to access the Old RFI view or select RFI New to access the new RFI view.

     

Note: There are two interfaces available for the main view of the RFI module: the old interface and the new interface. If you choose to access the old RFI view, it will open in a separate window or tab. This will not have any impact on your work. For information on the old RFI view interface, click here.

 

All RFIs View

The default RFIs view is displayed and list all of the RFIs in the project. 

  1. The status boxes/tiles give you a way to easily filter the table data. Click on a Status tile to display and filter the RFIs specific to the RFI stage. Unclick to return to the flat view

  2. The grouping function will allow you to add a sorting tier to your view. You can group by: Status, Priority, Reviewer, and Discipline. Click an option to group your data by the given category. Unclick to return to the flat view.

  3. You can sort and filter by the following columns using the Inline filters to narrow your search:
    RFI # - The number is based on the RFI Category. Starts with 1 with every new category. This is a system generated number and the default sort order for RFIs is the RFI number in descending order.
    Subject - Displays the subject of the RFI.
    Status - Displays the stage or status of the RFI.
    Due Date - The date the RFI Response is due based on the Priority.
    Days in Review - Select a date range for overdue RFIs. The Days in Review value displays the total number of days the RFI has been under review across all review stages, including any ‘back and forth’ assignments.
    Reviewer - The Default EllisDon RFI Reviewer for the selected RFI category.
    Primary Reviewer - The external reviewer assigned to the document.
    Primary Reviewer Company -The company associated with the Primary RFI reviewer.
    Current Assignee - Displays the person who the document is currently assigned to.
    Priority - The priority is displayed in days and by colour. The highest number of days will receive the lowest priority colour (green), and the lowest number of days will receive the highest priority colour (red), while everything in between will be given the mid-level priority colour (orange). Calendar day vs business days do not factor into the calculations.
    Discipline - Displays the discipline used in the RFI document.

  4. Click on the ellipses to open the RFI document

  5. Click Create New to create an RFI.

  6. Click on the symbol for table preferences to set the status tile and grouping bar preferences.

  7. Click on the 'i' Information symbol to access the tutorial layer.

  8. Click the export symbol icon to export an excel report.

Note: Opening multiple RFIs from the new interface will open up a new windows tab.

The hide function hides the full status tile bar, or the full grouping bar from the view to free up rows of data in the grid. These can be toggled on or off at any point in time. Note that currently if you toggle off while status filters are applied they will still be applied. Coming soon we will be implementing visual indicators so it is easier to tell that filters have been applied to the view.
