Design Documents are created to organize project related documents such as your IFB, IFT, IFC, and Spec documents. Design Documents assist in managing version control. All documents have the capability to be superseded. You can import documents or create them individually. You have the ability to create, edit, delete, view and attach files in Design Documents. Design Documents are used to generate Lists of Construction Documents, used as schedules or appendices to be included in subcontracts prepared in the Contracts module.
The Design Documents module may be managed and configured by an authorized user with the proper Access Control Level (ACL).
The Design Document Form consists of five sections:
Create a Design Document
- Navigate to the Design Documents Module.
- Click on the New menu.
- Select Design Document.
Document Details
4. Fill in necessary information throughout the sections. Fields with an asterisk * are mandatory in order to Save the document.
- Design Document Title/Number: Enter manually OR Click Specify Details from Spec Codes to Select a spec code from the pop-up window.
- Version: Editable alphanumeric field.
- Reference Number: Non-editable field. Populates when document is saved
- Document Type / Document Discipline / Issuance Purpose / Scale: Drop-down Menus. These menus are configurable in the Design Document Settings.
- Creation Date: Enter the Date on the Drawing.
- Project Phase: Predefined non-editable field. Displays phase of the project at the time the Design Document is created.
- Design Document Creator: Click the Add a Creator button to select the Company and Contact.
- Comment: Rich text entry Field.
- Add Set: Click the Add to Set button to add this document to an existing Document Set.
- Attachment: Click on the Attach Files button to Attach the Drawing/Specification to Gate Three.
5. Once sections have been populated with the required information, authorized users have the ability to:
- Save: Saves the Design Document and changes status to Current.
- Save & Next: Saves the document, changes status to Current, and opens a new Design Document tab with fields pre-populated from the current document.
- Save as Draft: Saves the Design Document Form with a Draft status. Allows the user to edit fields and make revisions to the document.
- Cancel: Closes the New Design Document Form without saving any information.

Comments
This section allows you to enter and save comments regarding the design document.
- Type comments in the text box.
- Click Apply.
Review Comments
Review Comments section is blank until the Design Document Review is initiated.
Authorized users will be able to input comments in this section.

Supersede
This section is blank and can only be superseded when Design Document Form is saved and has a status of current.
Refer to Supersede Design Documents for more information.
Associated Documents
In this section you are able to associate other project design documents to the current design document.
- Click the Associate Design and BIM button.
Select Design/BIM Document(s) pop-up window appears. - Select applicable document(s) by using the checkbox(es).
- Click Apply.
