Create a Company Contact

Once a new Company is created, Company Contacts need to be created for the new Company and linked to a project, in order to use the Company Contact on any project related documents.

There are two types of Company Contacts;

  • External Contact Person - A contact person associated to an external Company. For example: Subcontractor , Consultant, Owner contact person.

  • Internal Contact Person* - EllisDon employee staffed on a project.

*As of June 07, 2022, internal project staff will now be added through the Team Management module.

External contacts will continue to be added through the Companies & Contacts module.

As best practice we recommend a Company Contact person be created and linked to a Company during the Company creation and prior to submitting a Company document. Refer to how to add a new Contact to a Company step #4, if a new Company has not been created. Link

If the Company has been created but no contact person is linked or added, consider the following prerequisites:

Prerequisites:

  1. The proper access is required to add a Company Contact person to a project. You must have access to the Project you wish to add the Company contact to.

  2. Prior to linking and adding a Company Contact to a project, ensure the Company location the contact person will be linked to, is already linked and added to the respective Project. If the Company location has not been previously linked to the Project, you will not be able to link and add the Company contact person to the project.

Checklist when creating an External Company Contact:

  1. Search for the existing Company in the Companies and Contact view and open the Company Profile document to review that the Company has been added to a project.

  2. In the Company Profile document, scroll to the Contacts section and check for the Contact person, as the Contact person may have already been created and linked to the Company.

When linking and adding a Company Contact person to a project, ensure the new Company Contact is linked to the proper Company location.

Create an External Company Contact

  1. Navigate to the Companies and Contacts module.

  2. Search for an existing Company using either the search bar or the inline filters. Click on the Company within the view to open the Company Profile.

  3. Scroll down to the Contacts section of the Company Profile. Click on the Add Contacts button.

    The Add a Contact popup window appears.

  4. Enter the contact information. Then click Save.
    Fields with an asterisk are mandatory.

  5. The Contact has been successfully added to the Company profile. Click the Continue button.

    The Contact Profile document appears.

  6. Add the Company Contact to your project. Click Add to Project.

    The Add to Project popup window appears.

In order to associate a Company Contact to a Project the Company must first be associated to the Project. Otherwise the Project field in step #7 is not available. For more information on how to Add a Company to a Project, click here.

7. Select the mandatory fields using the drop down arrow: Contact Name, Company Name, Company Location, Project, Contact’s Project Role. Then, click Save.
